POP Collective CIC – Booking Terms & Conditions

By registering with POP Collective CIC and booking a class, workshop or event, you confirm that you have read and agree to the following Terms & Conditions.

1. Registration

Parents/carers are responsible for ensuring that all registration information, emergency contacts, medical information and any additional support needs are accurate and kept up to date.

Please inform POP Collective CIC promptly if any information changes.

2. Medical Information

It is the responsibility of the parent/carer to disclose any medical conditions, allergies, disabilities or additional support needs that may affect their child's participation.

This information enables us to provide a safe, inclusive and supportive environment.

3. Safeguarding

POP Collective CIC is committed to safeguarding and promoting the welfare of all children and young people.

All staff and volunteers receive appropriate safeguarding training, and safer recruitment procedures are followed.

Any safeguarding concerns will be managed in accordance with our Safeguarding & Child Protection Policy.

4. Photography and Video

Photographs and videos may occasionally be taken during sessions for promotional purposes, social media, printed materials, funding reports and internal communications.

Images will only be used in accordance with the consent preferences provided during registration.

Parents may update their consent preferences at any time by contacting POP Collective CIC.

5. Behaviour Expectations

POP Collective CIC is committed to providing a safe, welcoming and inclusive environment for everyone.

We ask all participants to:

  • Treat others with kindness and respect.
  • Follow instructions from staff and volunteers.
  • Respect equipment, venues and other participants.
  • Help create a positive and inclusive atmosphere.

Where a child's behaviour presents a risk to themselves or others, we will work with parents/carers to identify appropriate support. In rare cases, we reserve the right to suspend or withdraw a participant if all reasonable steps have been exhausted.

6. Collection of Children

Children must be collected promptly at the end of each session by a parent/carer or an authorised adult.

If someone different is collecting your child, please notify us in advance wherever possible.

7. Attendance

If your child is unable to attend a session, please let us know as soon as possible.

Regular attendance helps children build confidence, friendships and make the most of the programme.

8. Payments

Bookings are confirmed upon receipt of payment.

Payment terms, instalment options and deadlines are managed through the ClassForKids booking system.

Outstanding fees may result in a booking being cancelled.

9. Cancellations and Refunds

If POP Collective CIC needs to cancel a session due to circumstances beyond our control, we will endeavour to offer an alternative session, credit or refund where appropriate.

Refunds for participant cancellations will be considered in line with our Refund Policy.

10. Health and Safety

Parents/carers agree that their child is fit to participate in performing arts activities.

Basic first aid may be administered where appropriate.

In the event of a medical emergency, staff will seek appropriate medical assistance and make every effort to contact the parent/carer or emergency contacts provided.

11. Personal Belongings

Participants are responsible for their own belongings.

POP Collective CIC cannot accept responsibility for lost, stolen or damaged items.

12. Data Protection

POP Collective CIC processes personal information in accordance with UK GDPR and the Data Protection Act 2018.

Information is collected solely for the safe administration and delivery of our activities.

Our Privacy Policy explains how personal information is stored, used and protected.

13. Changes to Sessions

From time to time it may be necessary to make reasonable changes to venues, tutors, session content or timings.

Parents/carers will be notified of any significant changes as soon as reasonably possible.

14. Liability

POP Collective CIC accepts responsibility for children only during the advertised session times.

Parents/carers remain responsible for their children before drop-off and after collection.

15. Agreement

By completing your registration and booking with POP Collective CIC, you confirm that:

  • The information you have provided is accurate and complete.
  • You have disclosed any relevant medical or additional support needs.
  • You agree to these Terms & Conditions.
  • You agree to abide by POP Collective CIC's policies and procedures.
  • You understand that these Terms & Conditions may be updated from time to time, with the latest version available on request or via our website.
